The real cost drivers
Cost scales primarily with: the number of distinct user roles and what each one can do, how many separate modules or workflows are involved (e.g. scheduling and billing and inventory versus just one of those), integrations with other systems or APIs, and how much of the process needs automation versus simple data entry screens.
A tool with one user type and a handful of screens is a fundamentally smaller project than a platform with admin, staff and client roles each seeing different data.
Why "custom quote" is usually the honest answer
Unlike a website, where most projects cluster around a few common shapes, custom software genuinely varies too much to give a meaningful range without understanding the workflow first. This is why we typically respond to custom software inquiries with a scoping conversation rather than a number.
How to get a fast, accurate estimate
The fastest way to a real number is to describe the actual workflow you’re trying to replace or improve: who uses the system, what they need to do, and what currently goes wrong without it. That’s usually enough for a first-pass scope and estimate.
